ABOUT DPSCD FOUNDATION:
The Detroit Public Schools Community District Foundation’s (Foundation) mission is to create and enhance educational opportunities that are equitable and inclusive for the Detroit Public Schools Community District’s (District) students, families, and educators by building strong community philanthropic partnerships and advocating for policy, systematic, sustainable change. The Foundation has been working closely with the District since 2009, serving as its fundraising and fiduciary partner. Over the years, we have implemented and managed more than 100 programs. These initiatives focus on various critical areas that enhance education and support students holistically. The priority areas include education and literacy, health, science, technology, engineering, art, and math (often referred to as STEAM), workforce development, college pathways, and experiences beyond the classroom. This is achieved by executing fiduciary responsibilities over donations, leveraging partnerships and resources, grant administrative management, and fiscal and programmatic oversight. The Foundation, in partnership with the District, has established an exciting strategic plan with key sustainable program growth opportunities.

POSITION SUMMARY:
The Foundation is seeking a dynamic, creative doer with strong communication skills who can be well-organized, have great time management skills, and be able to act without guidance. The Executive Assistant will perform various administrative tasks to support the president and CEO. This includes managing calendars, making travel arrangements, preparing expense reports, and efficient office operations including accurate recordkeeping, grants, program compliance, and accounts payable functions. The executive assistant will manage all clerical tasks for the office. This includes welcoming guests and handling communication between donors, partners, students, and family. Additionally, the executive assistant will perform accounts receivable bookkeeping duties. Other responsibilities include preparing documents, managing corporate inventory, reviewing incoming documents, etc.

KEY RESPONSIBILITIES:

  • Acting as the point of contact among the Board of Directors, employees, clients, and other external partners.
  • Provide general support to all foundation staff.
  • Managing information flow in a timely and accurate manner.
  • Managing executives’ calendars and setting up meetings.
  • Make travel and accommodation arrangements.
  • Track daily expenses and prepare weekly, monthly, or quarterly reports.
  • Act as an office manager by keeping up with office supply inventory.
  • Format information for internal and external communication – memos, emails, presentations, reports.
  • Take minutes during meetings.
  • Screen and direct phone calls and distribute correspondence.
  • Organize and maintain the office filing system.
  • Provide excellent customer service to internal and external partners.
  • Organize and manage board affairs and special projects as needed.
  • Prepare memos, presentations, and correspondence.
  • Manage and maintain grant systems and databases to ensure compliance.
  • Prepare funder progress and final reports as needed.
  • Monitor deadlines, deliverables, and all compliance activity.
  • Serve as a liaison between partner organizations and funders.
  • Gather and present accurate data and information to potential funders and other key stakeholders.
  • Other relevant duties as assigned.

REQUIREMENTS:

  • 5-7 years of executive or administrative experience.
  • Experience working in the non-profit and/or philanthropic sector is preferred but not required.
  • Excellent organization, oral and written, presentation, and communication skills.
  • High School diploma required though some college preferred.
  • Good communication skills.
  • Computer literacy and proficiency with Microsoft Office Suite 365, Adobe Acrobat, and other online portals and platforms (i.e., QuickBooks Online, Fluxx, Cyber Grants, DonorPerfect, and Constant Contact).
  • Knowledge of social media platforms.
  • Ability to professionally interact with a wide range of individuals including key stakeholders, vendors, students, educators, and parents.
  • Ability to multi-task and problem-solve.
  • Other duties as assigned.
